Purpose and scope
This policy sets out how MiSAFE Solutions Pty Ltd (ABN 12 602 392 343), referred to as MiSAFE, we, us or our, uses artificial intelligence (AI), the limits we place on it, and how we protect the people and organisations whose information it touches. It covers the AI built into MiSAFE QHSE, which we call MiSAFE AI, the AI tools our team uses in consulting work, and the assistant on this website. It applies to everyone who works for or with MiSAFE.
Our principles
AI is still relatively new, so we set high benchmarks for how it is used. We follow Australia’s AI Ethics Principles and the six essential practices in the Australian Government’s Guidance for AI Adoption, published by the National AI Centre in October 2025.
- Someone is accountable. MiSAFE’s Director is accountable for every use of AI in our business and our software.
- We understand the impact before we start. Each new use of AI is assessed for its benefits, its risks and its privacy impact before it is switched on.
- We measure and manage the risks. Fixed rules limit what AI can see and do, and the risks are reviewed whenever the use changes.
- We share essential information. We tell you when AI is helping, as we do in MiSAFE QHSE and in the website assistant.
- We test and monitor. AI features are tested before release and watched once they are in use, and problems are fixed through our corrective action process.
- People stay in control. AI prepares and suggests. A person reviews and approves, and AI never makes a decision about a person.
What AI does, and what it never does
AI helps with work that is largely administrative. It drafts documents, risk assessments, training and checklists from an organisation’s own profile and library; reads files people upload, such as safety data sheets, plant manuals, invoices and tender documents, into draft records for review; fills a form from a plain description; flags missing detail and generic controls; prepares compliance fixes for an administrator to approve; and answers general questions on this website from the information published on it.
AI never approves, issues or sends anything on its own; makes decisions about a person’s employment, safety, access or eligibility; works outside the account it belongs to or sees another organisation’s records; is trained on your records; or gives legal advice.
Personal information
We handle personal information in AI the same way as everywhere else in our business, under the Privacy Act 1988 (Cth), the Australian Privacy Principles and the Office of the Australian Information Commissioner’s guidance on privacy and the use of commercially available AI products.
- Only the information a task needs is sent to AI, and personal details are removed first wherever the task allows.
- Inside MiSAFE QHSE, AI works only within your account, under fixed rules that block access to any other account.
- Information sent to AI is never used to train AI models, ours or our provider’s, and is never sold or shared for marketing.
- Our AI service provider may only use the information to provide the service to us, and must keep it secure.
- Our team does not enter client or personal information into public AI tools.
- Our Privacy policy sets out what we collect, where it is processed and your rights.
Confidential information and intellectual property
MiSAFE’s methods, templates, documents and software are our intellectual property, and our clients’ information belongs to them. AI does not change that.
- MiSAFE AI is the only name we use for the AI in our systems. We share details of the technology behind it only under a confidentiality agreement.
- One client’s records are never used to answer another client or a website visitor.
- The website assistant only knows what is published on this website. It will not explain how our systems are built, produce documents or templates, or discuss our clients.
- Documents prepared with AI help are reviewed by a qualified consultant before they are issued, and remain subject to the terms of your engagement.
The website assistant
The assistant at the bottom of each page helps you find information on this website, walks you through how our services work and puts you in touch with our team. It is supported by MiSAFE AI.
- It answers from the information published on this website and nothing else.
- Fixed rules that it cannot change keep its answers short, keep its links on this website, and stop attempts to extract confidential information or change how it behaves.
- Before a question leaves your browser, it removes email addresses, phone numbers and other long numbers, street addresses and names you introduce yourself with. Our server checks again before anything reaches our AI service provider.
- Please do not type personal, health or other sensitive information. To share your contact details, use the contact form, call or email us.
- Conversations are not saved on this website or on our server, and are cleared when you close or reload the page.
- It gives general information only. It is not legal, safety or professional advice for your workplace, and it does not make decisions about you.
- If the AI service is unavailable, it answers from this website alone and nothing you type leaves your browser.
You can talk to a person at any time: Micah, our Director, on 0400 977 769, the team at contact@misafesolutions.com.au, or book a meeting.
Accuracy and limits
AI can be wrong. Everything AI prepares in MiSAFE QHSE is reviewed by a person before it is used. Answers from the website assistant are general and may be incomplete, so if something matters, check the page it links to or ask us. Nothing AI produces replaces your own obligations under work health and safety law or the advice of a qualified professional.
Accountability, monitoring and review
MiSAFE’s Director is accountable for this policy. AI activity in MiSAFE QHSE is recorded in the AI Gate ledger, which the AI cannot write to, and any AI issue is handled through our incident and corrective action process. We review this policy at least once a year, and whenever the law, government guidance or the way we use AI changes, including the Privacy Act reforms and the transparency requirements for automated decisions that start on 10 December 2026.
Raising a concern
If you think AI has handled your information or a request poorly, please contact us, call 07 5641 2101 or email contact@misafesolutions.com.au. We will acknowledge your concern within five business days and respond in writing within 30 days. If you are not satisfied with our response about your personal information, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
